Enterprise Lubricants Privacy Policy

The protection of personal data is important to us. Please take note of the following information pertaining to the collection and processing of data when using our online store.

Enterprise Lubricants uses and allows access to your personal data in accordance with the laws pertaining to data privacy.

Personal data (“data”) refers to all information that can be used to determine who you are or data which can be traced back to you, for example your name, your email address, IP address and telephone number.

This Privacy Policy applies to users of the online store who are natural persons, primarily employees and representatives of our customers.

3.1 Sign on, login and use of online store

Description and extent of data processing:

When you sign into the online store after receiving your personalised sign on link via email you need to enter a username and password.
On the online store you are able to view customer data (e.g. purchase orders and order progress), including personal data (e.g. contact data) we obtained previously in the contractual relationship between the company you are working for and Enterprise Lubricants.

When you contact us via the online store we process the personal data you communicate to us e.g. your name, your email address, the company you are working for and your request. The data can be accessed by responsible persons within Enterprise Lubricants, as well as third party providers, who provide the technical system behind the online store. These service providers are contractually obliged to comply with privacy requirements and confidentiality.

Purposes of data processing and legal basis:

We process the personal data to enable you to use the online store, view relevant customer data on the Platform and communicate with us. Our legal basis to process the data is our legitimate interest to fulfill the contracts with our customers and to provide the online store as a part of our customer service.

Retention period and controlling options:

We store the data as long as needed for the purposes described above. Login data will be stored as long as you have a registered account. Customer data will be stored at least for the length of the customer relationship. Beyond that, we store the data for statutory limitation periods and mandatory retention periods. If you want to delete your account please send an email to hello@oils.co.za stating your request.

3.2 Log files

Description and extent of data processing:

If you use the online store your browser automatically transmits the following data:
* APIs you are using
* time and date of your visit

Purposes of data processing and legal basis:

It is necessary to store data for a limited period of time to be able to deliver the online store to your browser and to make sure that it works. With the help of this data we perceive statistical knowledge on how the online store is used. We also collect the data to prevent and track unauthorised access on our webservers and misuse of the online store, as well as to secure our IT systems. We store the data based on legitimate interests. Our legitimate interest is to reach the described purposes.

Controlling options:

We see the statistical data, as well as user profiles and user events linked to your unique identifier. This data can be accessed by responsible persons within Enterprise Lubricants, as well as third party providers who provide IT support. These service providers are contractually obliged to comply with privacy requirements and confidentiality.

Purposes of data processing and legal basis:

We process the data in order to generate pseudonymised user profiles, to compile reports on the online store activities and to provide further information related to user behaviour on the online store.

We use the data linked to your unique identifier to carry out troubleshooting in case of technical shortcomings and to provide technical user support. Data is processed based on legitimate interests. Our legitimate interest is to fulfill the purposes described above. Your data will also be deleted if you choose to opt out.

Revocation of consent

You may revoke your consent to the processing of your personal data at any time with future effect. Please note that the revocation does not affect the legality of the previous data processing and that it does not extend to such data processing, for which there is a legal reason for permission and which therefore can be processed without your consent.

Information

You may at any time request that we provide you with information about which of your personal data we process and provide a copy of the personal data we have stored, Art. 15 GDPR. Please note that additional copies of the personal data we have stored may be subject to a charge.

Correction

You may request the correction of incorrect personal data and completion of incomplete personal data.

Deletion/ Erasure

You may ask us to delete your data. Please note, excepted from the erasure rights are data that we need for the execution of contracts and for the assertion, exercise and defense of legal claims and data for which statutory, regulatory or contractual retention obligations exist.

Consents to data processing by means of cookies and tracking technologies can be revoked by corresponding settings in your browser or via the opt-out options described in detail under section C of this privacy policy.

Restriction of processing

You may, under certain circumstances, require the restriction of processing, such as: For example, if you believe your data is incorrect, if the processing is unlawful or if you object to the data processing. As a result, your data may be processed only to a very limited extent without your consent, e.g. for the assertion, exercise and defense of legal claims or for the protection of the rights of other natural and legal persons.

Opposition to data processing

You have the option to object to data processing for direct marketing purposes at any time. In addition, if you have special reasons, you may at any time object to the data processing that takes place on the basis of a legitimate interest.

Data portability

You have the right to receive the data you have provided to us and that we process on the basis of your consent or to fulfill the contract in a standard, machine – readable format and within the scope of the technically feasible to request direct transmission of this data to third parties.

Right to complain to a supervisory authority

You can file a claim with the respective data privacy supervisory authorities if you believe that our data processing does not meet the legal requirements or your rights have been infringed.
